Cancellation Policy Templates: 15 Examples You Can Copy
Published October 25, 2026

At a glance
A cancellation policy tells clients how much notice to give, what happens if they cancel late or don't show up, and how to cancel. Most service businesses ask for 24 to 48 hours' notice and charge part or all of the price for a late cancellation. Below are 20 templates: 15 policies you can copy, and 5 messages that put them to work.
A stylist blocks out 2 hours for a color appointment. An hour before, the client texts: "So sorry, can't make it today!" There's no time to fill the chair, and $150 of income is gone. Once a month, that's an annoyance. Every week, it's the difference between a good year and a hard one.
A clear cancellation policy won't stop life from happening, but it changes how people treat your time. Clients who agreed to "24 hours' notice, or a 50% fee" when they booked cancel earlier, reschedule more often, and rarely ghost. The trick is to keep it short, fair, and in front of the client before they book. Every template below is ready to copy: click Copy, swap the [brackets] for your details, and paste it where your clients will see it.

What to include in a cancellation policy
A good cancellation policy answers 5 questions in plain words: how much notice a client must give, what a late cancellation costs, what a no-show costs, how to cancel or reschedule, and when you'll make an exception. If you take deposits or cards on file, say how and when you charge them.
- The notice window. "Please give us at least 24 hours' notice." Say hours, not "a day", so there's no argument about what counts.
- The late cancellation fee. A percentage of the price ("50% of the service") or a flat amount ("$25").
- The no-show fee, and what counts as a no-show. For example, "not arriving within 15 minutes of the start time".
- How to cancel or reschedule. A link, a phone number or an email address, and whether a reschedule counts as a cancellation. (Tip: it shouldn't, if they reschedule in time.)
- How you charge. A deposit at booking, a card on file, or an invoice after the visit.
- Exceptions. Emergencies, illness and bad weather. Saying you'll be flexible in real emergencies makes the rest of the policy feel fair.
- What happens if you cancel. Clients notice when a policy only works one way. A line such as "If we need to cancel, you'll get a full refund or the first pick of new times" builds trust.
How to choose your notice window and fee
Pick the shortest notice that still lets you fill the slot. If your waitlist can fill a spot in 2 hours, a 48-hour rule only annoys people. If you prepare for each session or travel to clients, you need more notice. Here's what's common:
| Business | Usual notice | Late cancellation | No-show |
|---|---|---|---|
| Hair salon | 24 to 48 hours | 50% of the service | 100% of the service |
| Spa or massage | 24 hours | 50% | 100% |
| Barber | 24 hours | A flat fee, often $10 to $25 | The full price |
| Dental or medical office | 24 hours | Often none for the first time | A flat fee, often $25 to $75 |
| Therapy or counseling | 24 to 48 hours | The full session fee | The full session fee |
| Coaching or consulting | 24 to 48 hours | 50% to 100% | 100% |
| Personal training | 12 to 24 hours | The session counts as used | The session counts as used |
| Fitness class | 2 to 12 hours | A $10 to $20 fee, or the class credit | The class credit |
| Tutoring or music lessons | 24 hours | The full lesson | The full lesson |
| Home services | 24 hours | A trip fee | A trip fee |
Our advice: if you've never had a policy, start with 24 hours and a 50% fee for late cancellations, and waive it the first time. That's strict enough to change habits, and gentle enough that no good client feels punished. Tighten it later, if you need to.

Where to put your cancellation policy
Put the policy everywhere a client makes a decision, so nobody can say they didn't know.
- On your booking page, next to the times, in the short version (template 3).
- In the confirmation email, right after the booking (template 16, or add a line to any of these appointment confirmation templates).
- In the reminder, before the notice window closes (template 17).
- On your website, in full, on its own page or in your FAQ.
- At checkout, with a line such as "By booking, you agree to our cancellation policy", if you take payments or deposits.
How to make your policy stick
- Get agreement at booking. A client who agreed to a policy is far less likely to argue with the fee.
- Take a deposit or a card at booking, if your appointments are long or valuable. Chasing an unpaid fee after the fact rarely works.
- Apply it the same way to everyone. A policy you enforce for some clients and not others feels personal, and it's harder to defend.
- Charge soon, and say why. Send template 18 on the same day, with the policy in one line.
- Be human about real emergencies. Waiving a fee once for a car accident or a sick child keeps a client for years.
- Watch for repeat no-shows. After 2 or 3, ask for full payment in advance.
Cut cancellations before your policy matters
The best cancellation policy is one you rarely have to enforce. 3 things prevent most late cancellations and no-shows:
- Reminders. Most no-shows simply forget. A reminder 1 to 2 days before, with a reschedule link, gives clients time to move the appointment instead of skipping it. See our appointment reminder templates.
- An easy way to reschedule. If rescheduling means a phone call during your busy hours, clients put it off until it's too late. A link they can use at 11 PM saves the booking.
- A minimum notice for new bookings. Don't let clients book a slot for tomorrow morning at 11 PM tonight if you can't prepare in time.
Put your cancellation policy to work with zcal
A policy only works if clients see it before they book, and if keeping it is easier than breaking it. zcal, a free scheduling app, does both: your policy sits right on the booking page, and every booking comes with reminders and a one-click reschedule link.
- Show the policy where clients book. Paste the short version (template 3) into your booking page's description. Clients read it next to the times, and it's added to the calendar event too.
- Send reminders with a reschedule link. On the free plan, every booking gets an automatic email reminder the day before, with links to reschedule or cancel. Clients who can't make it pick a new time instead of disappearing.
- Stop last-minute bookings. Set a minimum notice of 1, 12 or 24 hours, or up to a week, so nobody can book a time you can't prepare for.
- Take payment when clients book. Connect Stripe to charge the full price or a deposit at booking, so a no-show is already paid for. It's on every plan, and Pro removes zcal's fee on payments (see pricing). Refunds stay in your hands, in your Stripe dashboard.
- Ask clients to call you to cancel. For strict policies, you can hide the reschedule and cancel links, so clients must contact you directly.

On Pro, you can also send up to 5 reminders and a text reminder, and put your policy in each one. Try zcal free.
